Navigating the Inbox


Option 1:

  1. Open the Chrome extension anywhere in your ATS by clicking on the 'baby g' tab

  2. Click Inbox

Option 2:

  1. Open Chrome extension while on a candidate's profile in your ATS

  2. Click the menu on the upper right-hand corner

  3. Click Inbox

Conversation History will be color coded:

  • Green - Coworker messages to candidates

  • Blue - Your messages to candidates

  • White - Messages received from candidates

  • Pink - Automated messages to candidates

Sending a 1:1 Message:

  • Immediately start typing a freeform text into the “Send Message...” box

  • After crafting your message, click Send to immediately message the candidate

Inserting snippets:

  • Options: Candidate (Profile) First/Last Name, Sender First/Last/Full Name, Organization Snippets, Custom Snippets

  • Seamless way to pull candidate information directly from Grayscale or your ATS into a text message

  • Use this icon to insert pre-made templates

  • Use this icon to insert a link to a survey, if you have the Survey feature

  • Use this icon to schedule your 1:1 messages

  • Use this icon to add nudges to your 1:1 messages

Following and Unfollowing candidate conversations:

  • If you text a candidate, you’ll automatically be following them. You can follow additional candidates by clicking the blue Follow button next to their name, or unfollow them by clicking Unfollow

Click the 3 dots in the right hand corner of a candidate conversation:

  • If a candidate's phone number was changed in the ATS, but has not updated in Grayscale, click Sync to manually update

  • If you are receiving unwanted or inappropriate correspondence from a candidate, you can Block them.

Click the 3 dots in the right hand corner of a candidate conversation, then click View Details to see more information about the candidate, such as:

  • Email address

  • ATS candidate ID

  • Jobs the candidate has applied to

  • List of who is following this conversation

If a candidate has opted out of SMS by replying "STOP", the conversation will:

  • Display a badge indicate the candidate opted out

  • Display a note than the candidate cannot be messaged

  • Display the phone number the candidate can text "START" to in order to opt back in

  • Give an option to send the opt in phone number to the candidate in an email
