Bulk Messaging

Engage a pool of candidates, all at once

  • Navigate to the Grayscale menu

  • Select Bulk Messaging

Creating a New Bulk Message:

  • Click blue “New” button, near upper right or “New Bulk Message” in the middle

  • Add a name for the bulk message

  • We recommend creating a descriptive name you will remember and adding a date

  • This is an Internal name. Candidates will not see this

Choose your audience:

  • See next steps for audience options

  • Audience Option 1: Individuals

  • Audience Option 2: List

  • (not often used when integrated with an ATS)

  • Audience Option 3: Job

  • Drill down further by ATS tags if desired

Audience: Status or Dynamic

  • Static - list will send as is when this is created

  • Dynamic - the most up to date list of matched candidates will send (if candidate are added or moved from the criteria between setting this up and when it fires, these changes will be accounted for when the message sends)

Crafting and adding your message

  • You can utilize templates and snippets just like you can with 1:1 messaging

Including Opt Out Language

  • Checking this box is recommended, and defaults to send with each bulk message

Follow Up

  • Add Nudges (up to 3)

Assign replies

  • Defaults to "Nobody", use the drop down menu to assign who they should go to

Schedule the message to go out

  • Date, time, and time zone are all editable

  • Note: Time Zone across the board will default to the time zone of your computer

  • This box must be checked in order to save the bulk message

You can filter Bulk Messages by:

  • Upcoming/In Progress

  • Upcoming

  • In Progress

  • Sent

  • All statuses

Click the Executions tab of a sent bulk message to view details such as:

  • Number of response

  • Response rate

  • Average response time

  • Number of messages sent

  • Percentage of recipients that opted out

and recipient-specific details such as:

  • Recipient name

  • Recipient phone number

  • Message sent

  • Response received

  • Opt out

  • Button to recipient's conversation

Using WhatsApp? You no longer need to manually select it in the Bulk Message. If the candidate was previously messaged via WhatsApp, or if the candidate's country does not accept SMS messages, the Bulk Message will automatically send via WhatsApp.


No need to worry about special WhatsApp pre-approved templates either! WhatsApp now scans all normal templates on creation. Meaning you can use any of your regular templates!

No template? No problem! WhatsApp will automatically scan message verbiage that wasn't in a template, giving you the option of tailoring your message content to that specific bulk message instead of using a template!
