Introducing our new WhatsApp Integration!

Grayscale now allows you to send messages via traditional SMS, or through WhatsApp! The messages can be sent and viewed from the candidate's conversation page, giving you even more flexibility while keeping the interface as simple and familiar as possible 🚀

Note: Please reach out to your Customer Success Manager to add the WhatsApp integration. The implementation considerations can be found here.


What is WhatsApp?

WhatsApp is a popular instant messaging service that offers another way of reaching out to candidates. With end-to-end encryption, your messages are protected. Only users in your Grayscale environment and the person you’re talking to can read your messages, not anyone else, not even WhatsApp.

It is available internationally, except for the following countries:

  • China

  • Crimea

  • Cuba

  • Iran

  • North Korea

  • Syria

While SMS is the primary messaging channel in the United States and Canada, WhatsApp is the preferred method for communicating throughout the rest of the world.

Note: In order for a candidate to receive messages from WhatsApp, they must have a WhatsApp account with their phone number.


Using WhatsApp in Grayscale

WhatsApp is an available messaging channel throughout Grayscale, in parity with SMS🎉

It can be used in:

  • 1-1 Messaging

  • Bulk Messaging

  • Automations

  • Nudges


How does it work?

When engaging with a candidate for the first time, Grayscale will auto-select the messaging channel based on the recipient's country code.

  • For recipients in the US and Canada, messages will be sent via SMS

  • For recipients throughout the rest of the world, messages will be sent via WhatsApp

You can easily change the messaging channel by clicking on the recipient's phone number to reveal the dropdown as shown below.


Crafting Your Messages

You can craft your messages using:

  • Free-form messaging

    • If the candidate has not responded to a WhatsApp message in 24 hours or longer, your free-form message will be submitted for approval upon clicking Send

  • An SMS template

    • If the candidate has not responded to a WhatsApp message in 24 hours or longer, your SMS template will be submitted for approval upon clicking Send

  • A pre-approved WhatsApp template


How does Grayscale know when to send via WhatsApp?

  1. If this is the first time reaching out to a particular candidate, Grayscale will autoroute the message based on the candidate's country code

    1. I.e. a candidate with a US phone number will receive an SMS message while a candidate with a Brazilian phone number will receive a WhatsApp message

  2. If there is an existing conversation with a particular candidate, Grayscale will use the last known channel to send the bulk message

    1. I.e. Candidate A has been communicating via WhatsApp so the bulk message will send to Candidate A via WhatsApp


That's it! You're now able to send messages via WhatsApp!
