We understand how important data is for optimizing a hiring process. That’s why we’re launching a whole new Reports dashboard, to give you lots of meaningful insights at your fingertips so you can more effectively manage your process.
What’s new with Reports?
With Grayscale Reports, you’re now able to analyze data by drilling down into:
Overall account
User
Automations enabled
Scheduling
You can now filter by custom date range to track the following key metrics:
Cold Response Rate
Cold Response Time
Messages Sent
Conversations
Opt Outs
With this in mind, let’s further define some of these metrics and show you around the new dashboard.
Getting started with Grayscale Reports
Starting at the top, you’ll now see the ability to select a custom date range for drilling into your data. The default setting is ‘All Time’.
Note: In order to ensure consistency across timezones, report start times are at 12:00:00 am UTC, and end times are at 11:59:59 pm UTC of the selected date range. For help calculating UTC to local time, you can use an online converter tool, such as this UTC Time Zone Converter
The ‘Account Overview’ section gives you your company wide data, so you can see how your overall account is performing.
Under ‘User Metrics’ you’ll see a list of your team, with individual performance metrics broken out for a more granular view.
You can click ‘Expand’ at the top right of the table to expand the view if necessary to view the whole team.
Next you’ll find a section for ‘Automations Metrics’, which will give you a performance breakdown by each of your Automations enabled company wide.
A deeper dive on our metrics
For the data-inclined among you, below is a breakdown of how we calculate our key metrics so you understand the underlying framework we’re using.
Cold Response Rate
This calculation answers the question “How are my initial messages performing?”
Why we calculate response rate this way: We find that by looking at the cold outreach in isolation it gives a much clearer picture of response rate health. Once a conversation has started, response rates are extremely high, which can artificially inflate the data and hide key problem areas in your communication.
How we calculate it: Looking at the first message sent by a user, we calculate if the candidate responds within a 30 day window, If 2 recruiters message the same candidate within that 30 day window, when a candidate replies, we apply that to the most recent recruiter to message the candidate
Cold Response Time
This calculation answers the question “How quickly are candidates responding to my initial message?”
Why we calculate response time this way: We find that by looking at the cold outreach in isolation it gives a much clearer picture of response time health. Once a conversation has started, response times are typically very fast, which can artificially inflate the data and hide key problem areas in your communication.
How we calculate it: Looking at the first message sent by a user, we calculate how fast the candidate responds within a 30 day window. If 2 recruiters message the same candidate within that 30 day window, when a candidate replies, we calculate response time off the most recent recruiter to message the candidate
Messages Sent
This calculation answers the question, “What is our messaging volume?”
How we calculate it: This calculation includes the total number of messages sent (we are not counting messages received in this calculation)
Conversations
This calculation answers the question, “How many candidates have we engaged with?”
How we calculate it: This calculation includes all the total number of candidates that have been messaged, regardless of whether the candidate has or has not responded
Opt Outs
This calculation answers the question, “How many candidates have opted out of receiving our text messages?”
How we calculate it: Opt outs are tracked per conversation, and Grayscale provides an account view on the total number of conversations that were opted out over a given period of time.
Recipients can opt out of messages by replying with one of the case insensitive keywords: STOP, STOPALL, UNSUBSCRIBE, CANCEL, END, QUIT
Scheduling Report Dashboard
If Scheduling is enabled on your account, you can view the details in the Scheduling tab of the Reports dashboard.
Just as with messaging reports, the 'Overview' section will provide a look at your company-wide Scheduling usage. You will see the bookings by event type (1-1, Group, and Event Registration), as well as a total of all bookings.
Under the 'Users' section, you can see the bookings of each user, again broken down by event type and with a calculated total of all bookings per user.
The 1-1 and Group Events section shows the bookings for your 1-1 or Group events
The Event Registrations section shows all event registrations for all users, regardless of reservation status
