Own every moment in your onboarding process with Grayscale Automations. With Automations, you can deliver the right messages to new hires at the perfect moment.

Automations are designed to easily scale across your organization. Some common touch points to automate include:

  • Start date

  • New hire tasks assigned

  • Onboarding started

  • Onboarding completed

  • Onboarding task due date

What is an Automation?

An automation is made up of 3 key components:

  1. Audience conditions

  2. The trigger event

  3. The messages


Audience


Audience conditions define which new hires an automation can operate on.

These can be:

  • New Hires

    • Apply any of these filters to really customize this automation:

      • Job Title

      • Start Date

      • Hiring Manager

      • New Hire Type

      • Program ID

  • All Task Owners


Event


The Event is the date the will trigger your automation.

For a New Hires automation, select from the following events:

  • Onboarding Task Due Date

  • Onboarding Task Assigned

  • Start Date

  • Onboarding Started

  • Onboarding Completed

For an All Task Owners automation, select from the following events:

  • Onboarding Task Due Date

  • Onboarding Task Assigned

The Onboarding Task Due Date and Onboarding Task Assigned event types allow you to filter further by specific, available tasks as shown here:


Messages


The Message section is where you'll be able to craft your messages to your intended audience once all the criteria has been met. The initial message will be delivered based on the Wait time set, following the trigger date. You can add up to 5 reminders to be sent before or after the trigger date too!

  1. Adjust the Wait for the initial message, select from these options:

    • No wait (Immediately) – default, trigger date

    • 2 Hours

    • 1 Day

    • 2 Days

    • 3 Days

    • 4 Days

    • 5 Days

    • 6 Days

    • 7 Days

  2. Craft your message – be sure to leverage templates and snippets! Include any of these snippets:

    • Contextual Snippets – only available for Onboarding Task Due Date event types

      • Task due date

      • Task category

      • Task name

      • Task link

    • Profile Snippets

      • First name

      • Last name

      • Start date

      • Years of tenure

      • Location

      • Department

    • Sender Snippets

      • Sender name (full name)

      • Sender first name

      • Sender last name

    • Organization Snippets

      • These are custom snippets that have been shared across your organization

    • My Custom Snippets

      • These are custom snippets that you have created and are not shared across your organization

  3. Adjust the Time Zone for this automation (if applicable)

    • Your computer's time zone will be automatically selected. If you are setting this automation up for a specific audience located in a different region, you may want to select a different time zone.

  4. Add up to 5 reminders – Reminders are only sent if the call to action has not been completed

    • Enter the number of days before or after the initial message for your reminder send on

    • Craft your message

    • Click Save

  5. Add a follower (or multiple!)

    • This is how you'll be notified of responses from your new hires
