SMS Consent Management Overview

Workday ATS

Note: These tasks will need to be completed by a Workday implementation user with administrative access.

  1. Create SMS consent question

    1. For inspiration, be sure to check out our SMS Consent Question Examples article.

  2. Add new SMS consent question to all questionnaires

  3. Grant ISU GET access to Candidate Data: Questionnaires

  4. Share WIDs for all of the Possible Answers, i.e.:

    1. Yes

    2. No

  5. Determine level of enforcement needed

    1. None – manual

    2. Permissive

    3. Strict


Granting ISU User GET Access to Candidate Data: Questionnaires

  1. From the Security Group’s page, use the related actions button (the lego-brick icon) of the Security Group to access Security Group (hover)

  2. Select Maintain Domain Permissions for Security Group:

  3. From the Maintain Domain Permissions… page, under Integration Permissions add the following to Domain Security Policy permitting GET access:

    • Candidate Data: Questionnaires

  4. In the search bar, type Activate Pending Security Policy Changes to view a summary of the changes in the security policy that needs to be approved. After reviewing policies, approve the pending security policy changes in order to activate them.


Locating the WIDs

  1. Go to either 1) View Questionnaire or 2) Configure Questionnaire

  2. Navigate to the SMS question

  3. Click Actions (the lego-brick icon to the right of the answer)

  4. Select Integration IDs > View IDs

  5. Repeat for each possible answer


Consent Enforcement Options

There are 3 levels of consent enforcement available in Grayscale:

  1. No enforcement. Users will manage on their own – manually identifying and respecting each candidate's response prior to sending a text message. They can text any candidate, unless they have opted-out via SMS directly (i.e. responded with “STOP” or “UNSUBSCRIBE”). It is still the responsibility of the customer to collect consent.

  2. Permissive enforcement. Users will not be able to text candidates who have responded NO to the consent question.

    • Candidates who submitted an application prior to the collection of SMS consent can continue to be communicated with.

    • Candidates who responded with YES to the SMS consent question can be communicated with.

  3. Strict or full enforcement. Users will only be able to communicate with candidates who have responded YES to the SMS consent question.

    • Users will not be able to begin or continue communicating with candidates who have answered NO to the SMS consent question.

    • Users will not be able to begin or continue communicating with candidates who have not made a selection on the SMS consent question.

      • This would typically apply to candidates who submitted their application(s) prior to the addition of the SMS questionnaire.

Notes

  • Regardless of the candidate’s response in Workday, a direct opt-out via SMS will automatically disable messaging for that candidate’s conversation(s) throughout your organization.

  • Candidates can opt-out via SMS by replying with any of the following keywords:

    • Stop

    • Stopall

    • Quit

    • Cancel

    • Unsubscribe

    • End

  • If a candidate has opted-out via SMS, they can resubscribe by replying START to the Grayscale number they opted-out from.

  • Grayscale only reads the SMS consent responses from Workday, it does not write or update those responses on the candidate profile.
