WhatsApp Integration Guide

Scope of Work

Grayscale’s High Volume Hiring Platform is designed to help recruiters streamline and automate a high-touch candidate experience at scale. Grayscale’s conversational recruiting platform makes it easy to text with candidates from within your ATS, while automating repetitive tasks in the hiring process. This document outlines the scope of work for integrating WhatsApp with our solution within your ATS.

Prerequisites

To ensure a smooth onboarding process, please review the following prerequisites and prepare the necessary information before beginning your WhatsApp activation:

  1. This process requires a Grayscale Admin user with Admin access to your organization’s Facebook/Meta Business Manager.

  2. Facebook Business Manager Account

    • You must have a verified Facebook Business Manager account.

    • You have admin access.

    • See Meta Business Verification for more information.

  3. WhatsApp Business Display Name

  4. Business Information

    • Legal business name

    • Business address

    • Website URL

    • Business email address

    • Industry category

  5. Compliance and Opt-In

    • Ensure your use case and messaging workflow adhere to WhatsApp’s Business Policy and opt-in requirements. Customers must consent to receive WhatsApp messages from your business.

Integration Steps

  1. Log into Grayscale and paste the following link into the URL bar: https://app.gograyscale.com/settings/admin/whatsapp-integration

  2. Click Login With Facebook

  3. Login to your personal Facebook account. If already logged in, click Continue as [name]

  4. To Connect your account to __, click Get Started

  5. Select the Business portfolio (or create a new business portfolio) to connect and click Next

  6. Click into the dropdown Choose a WhatsApp Business Account > select Create a WhatsApp Business Account

    1. The WhatsApp Business Account name must match the Business Portfolio name

  7. Review Grayscale’s access request and click Continue

  8. You’ll then see the Verifying your information screen

  9. Once you come to the You’re now ready to chat with people on WhatsApp screen, click Finish

  10. Next up, WhatsApp Profile Branding!


WhatsApp Profile Branding

This information will be shown to WhatsApp users when they are interacting with your business. Grayscale recommends adding this information because it has shown to increase message recipients' trust of your senders and increase engagement.

Available Profile Fields

  1. Business Display Name

    • The Business Name as listed in the Meta/Facebook Business Manager will be used

    • It can be edited following the WhatsApp registration process

  2. Profile Photo

    • JPG or PNG format

    • 640x640 pixels or larger

    • Square ratio

  3. Business address (Optional)

    • Typically the company HQ location would be added here

  4. Business website (Optional)

    • This can be the company’s main website or career page

  5. Additional business website (Optional)

  6. Business email (Optional)

    • We recommend adding a general recruiting email address

  7. Business description (Optional)

    • Limit to 512 characters

  8. Profile about

    • Limit to 139 characters

By default, when you create your WhatsApp Sender, your account will be a Business Account.

Meta Business Verification

Overview

The overall experience with WhatsApp for Business is highly dependent on the business verification status of your Meta Business Portfolio.

Usage Considerations

  1. Phone number limits

    • Unverified Meta Business Manager – You can register a maximum of 2 phone numbers per Meta Business Manager across all WABAs

    • Verified Meta Business Manager – The limit increases to 20 phone numbers (and can be raised further with special approval)

  2. Messaging Limits

    • Unverified Meta Business Manager – You are limited to:

      • 250 business-initiated conversations with unique candidates in a rolling 24-hour period

      • To increase this limit, you must:

        • Complete Meta’s Business Verification

        • Have your WhatsApp Sender’s Display Name approved by Meta

        • Maintain a good quality rating

    • Verified Meta Business Manager – You can send 1,000+ business-initiated conversations with automatic scaling according to the following criteria:

      • You are sending high-quality messages across all of your business phone numbers and templates

      • In the last 7 days, your business has utilized at least half of your current messaging limit

  3. WhatsApp Business Account limits

    • Unverified Meta Business Manager – The main restriction is on phone numbers (see consideration #1)

    • Verified Meta Business Manager – Can have up to 20 WhatsApp Business Accounts across their Meta Business Manager

Profile Branding Considerations

Unverified Meta Business Manager

For companies that have yet to complete Business Verification, the WhatsApp Sender's Display Name will be appear as follows:

  • From the Chats list – the phone number assigned as the WhatsApp sender (left-hand image)

  • In the 1-1 chat view – the phone number is in bold while "Grayscale Labs" is only displayed in small text below the phone number (middle image)

  • From the contacts view/Business Info – the phone number is in bold while "Grayscale Labs" is only displayed in small text below the phone number (right-hand image)

Verified Meta Business Manager

Once the Meta Business Verification has been completed and the Meta Business Manager is verified, the chat list and chat thread will then show the WhatsApp Sender's Display Name ("Grayscale Labs" in the example below).

  • This is typically what all Grayscale WhatsApp accounts look like

  • The phone number is only shown when the user taps the Display Name on the top to open the Business Info screen shown below (right-hand image)
