  • Automations are one of our most exciting features of Grayscale. An automation is a text that is triggered to be sent by a specific action in Greenhouse . There are 2 main use cases that we see people use automations for, a stage change, or an interview scheduled.

  • You’ll want to give your Automation a Title, for example “In person Interview”. By default, automations are set to “All Jobs”, but most people set up automations for only the jobs they’re recruiting for.

  • You'll then choose the event that triggers this automation, for example, “Interview scheduled”, filter on the stage name “Only for a specific stage” and choose the “Face to Face Stage”.

  • Next you’ll choose when to execute this automation, and you can choose the Day before the Interview, Morning of the Interview, etc. If you choose the morning of the interview, Grayscale will automatically send this at 7am the morning of the interview. Currently, there’s not a way to change this, and definitely make sure you’re paying attention to the Time Zones here. We recommend using the time zone in which your company operates in, just to avoid confusion, but there are multiple time zone options available to choose from here.

  • To craft your message, you do have a few more contextual snippet options. You can pull in the interview date and time from the candidates profile as well as the job name they’re interviewing for and the interview team.

  • The final step is to assign who receives the replies and then save! Once the time you've chosen rolls around, this will be triggered to automatically send out.

  • And at anytime, you can click on the three dots on the right hand side of the automation and edit, pause, or archive the automation.

  • You can set up as many automations as you want to make your life easier.
